Recording Equipment Models and Finding the Controlling Manual
Capture the installed equipment identity, resolve model and revision ambiguity, find the exact official manual, and preserve a source record someone else can verify.
Field checklist
A concise reminder for a trained technician. Use the full procedure for first-time work or unusual conditions.
Complete in order
- Start with wide system photos and a numbered equipment map. Do not touch, open, rotate, disconnect or energize equipment merely to expose a label.
- For each asset, photograph the whole unit, installed relationships, complete nameplate straight-on, serial/date plate privately, control display/version and any separate component labels.
- Transcribe exactly: brand, product family, model including every suffix, serial/date code, ratings, part/kit number, revision, fuel/voltage/size and installed accessories. Mark unknown characters, never guess.
- Separate system model from replaceable component: pump wet end vs motor/drive, filter tank vs cartridge/grid, heater vs control board, salt controller vs cell.
- Search the manufacturer's official current or legacy support library using the exact model and suffix.
- Select document type deliberately: installation/operation, owner's/user, service, parts, quick reference, safety bulletin or accessory kit. One PDF rarely controls every task.
- Verify inside the document that model/suffix, revision/date, fuel/voltage/size, components and warnings match the installed asset. Record canonical URL, title, document number/revision and access date.
- Check current official safety notices/recalls using model, serial and date ranges. Restrict equipment when an identity-dependent safety question cannot be resolved.
Done when
- Every in-scope asset has a unique inventory record and sufficient whole-unit, relationship and label evidence to re-identify it without another visit, or is explicitly marked unverified.
- Each procedure uses an official document proven to cover the exact installed model/configuration, with alternate/legacy ambiguity resolved or escalated.
The wrong manual can look right. Pool-equipment families often share housings across capacities, voltages, fuels, generations and replacement kits. A replacement motor or control board may carry the clearest label while not identifying the pump, heater or automation system it now serves.
This procedure creates a defensible chain from installed asset → exact identity → official controlling document → authorized task.
Fast orientation
- Photograph the complete system before close-ups.
- Assign a stable asset ID to each component.
- Capture whole unit, relationships and every accessible label.
- Transcribe all model suffixes and uncertain characters honestly.
- Separate parent equipment from replacement components/accessories.
- Search only official current/legacy manufacturer sources first.
- Select the document type that controls the actual task.
- Verify coverage inside the document, including revision/configuration.
- Check current recalls/safety notices when identity matters.
- Store private identifiers safely and record unresolved ambiguity.
Why this matters
Model identity controls more than replacement parts. A suffix can change voltage, fuel, pressure, capacity, approved chemistry, firmware, plumbing and safety instructions. A plausible manual for the wrong variant can therefore produce a confident but unsafe procedure.
Your company treats identity as evidence: the installed label, system context and official document must agree before a model-specific task proceeds.
Before you begin
Review existing property records and prior equipment photos without assuming they still describe the installation. Confirm the work order permits documentation, protect customer/security information, and establish a safe path around the pad.
Do not alter equipment state merely to expose a label. If safe access depends on shutdown, cooldown, electrical isolation or a qualified trade, stop and schedule that separate control step.
Detailed procedure
1. Build an equipment map first
Start with wide photos from enough angles to show:
- pool and spa relationship;
- suction lines and valves;
- circulation/feature/booster pumps;
- filters and backwash valves;
- heaters/heat pumps;
- sanitizer/feed systems;
- automation/load centers and time controls;
- actuators, sensors and accessory controllers;
- cleaners, covers and remote power supplies;
- disconnected, bypassed or abandoned equipment.
Assign stable private asset IDs such as:
- PUMP-01 circulation;
- PUMP-02 spa jets;
- FILT-01;
- HEAT-01;
- SCG-CTRL-01 and SCG-CELL-01;
- AUTO-01;
- CLEAN-01;
- COVER-01.
The ID describes the record, not a guessed model or permanent function. Update the function after it is proven.
2. Use a three-photo minimum
For each asset, capture:
Context photo
Shows where it sits, connections and neighboring equipment.
Whole-unit photo
Shows housing, orientation, ports, controls and distinguishing shape.
Complete label photo
Straight-on, in focus, evenly lit and large enough to read every line, including suffix, ratings, certification marks, serial/date code and document/part number.
Add as needed:
- second label/underside label from a safe accessible angle;
- motor/drive plate;
- controller/cell labels;
- display/version screen;
- valve/actuator markings;
- accessory-kit label;
- product warning and plumbing/flow arrow;
- prior/replacement equipment label.
Never crop the only original so tightly that label context disappears.
3. Safety before label access
Do not:
- open an electrical, heater, fuel or chemical enclosure;
- remove a guard/deadfront;
- reach over rotating/hot equipment;
- disconnect wiring, plumbing or data cable;
- enter a cover vault or confined space;
- rotate a valve or energize a circuit merely to improve the photo;
- peel, scrape or solvent-clean a label;
- move unstable equipment.
Use camera zoom, alternate safe angle and lighting. If the label is inaccessible, record exactly why and identify the safe qualified step needed later.
4. Transcribe, do not interpret yet
Record exactly as printed:
- manufacturer/brand;
- product name/family;
- model number with spaces, hyphens and suffixes;
- serial number privately;
- manufacture/date/lot code;
- voltage, phase, frequency and electrical ratings;
- fuel type and input where applicable;
- horsepower/THP, flow, pressure, filter area or capacity;
- cell size/output or controller version;
- part, item, SKU, kit or document number;
- revision/firmware/software version;
- certification/listing and warning references;
- country/date of manufacture when relevant.
Use placeholders for unreadable characters:
Model: 0110? / final character unreadable
Do not silently decide O versus 0, I versus 1, B versus 8, S versus 5 or omit a suffix.
5. Know which number you captured
A label may show:
- complete equipment model;
- component model;
- replacement-part number;
- motor frame/drive model;
- control-board assembly number;
- packaging SKU;
- compliance/listing file number;
- instruction-sheet number;
- serial/date code;
- customer/installer asset tag.
Do not put all of these into one “model” field.
Use field labels that preserve meaning: equipmentModel, componentModel, partNumber, serialNumber, documentNumber, firmwareVersion.
6. Component traps by equipment family
Pump
Capture separately:
- wet-end/pump model;
- motor or integrated drive model;
- total horsepower/rating plate;
- controller/interface version;
- replacement motor/drive history.
A motor label alone may not identify impeller, diffuser, seal, wet-end rating or correct pump manual.
Filter
Capture:
- tank model and size/area;
- element/grid/cartridge part identity if safely known;
- backwash/multiport/push-pull valve model;
- clamp/lid/air-relief configuration;
- clean-pressure baseline separately.
One product family may have several diameters/areas with different elements and media quantities.
Heater or heat pump
Capture:
- complete model/suffix;
- fuel (natural gas/propane/electric);
- input/capacity;
- voltage/phase;
- altitude/indoor/outdoor/ASME or other variant where printed;
- control board/display version;
- serial/manufacture date privately.
A missing fuel or capacity suffix is a hard stop for parts or service.
Salt chlorine generator
Capture both:
- power center/controller model/version;
- cell model, output size and serial/date code;
- flow switch/sensor or integrated-control relationship.
Controller and cell may be different generations or rated for different capacities.
Automation
Capture:
- enclosure/load-center label;
- system family/personality/model;
- indoor/remote interface;
- expansion boards/modules;
- firmware/software version;
- app/cloud product identity;
- connected pump/heater/sanitizer/actuator models.
Do not expose network identifiers, pairing codes or credentials.
Cleaner
Capture cleaner body model, power supply/controller, wall fitting/booster where applicable and any app/firmware identity. Similar cleaner shells often span different generations.
Cover
Capture manufacturer/system model, control/motor identity, fabric label/certificate, pump model and manual/installation record, without publishing security codes.
7. Search hierarchy
Use this order:
- Installed product label and documents left with the property.
- Official manufacturer product page/manual hub.
- Official manufacturer legacy/archive page.
- Official successor-brand/acquisition support page.
- Manufacturer technical support using evidence package.
- Official safety agency/standards source for recall or requirement.
- Authorized distributor only as a lead to the official document.
Reseller listings, forums, videos, AI answers and image searches can suggest a query; they do not control consequential service.
8. Effective search strings
Start with quoted exact identity:
"011028" site:manufacturer.example manual
Then add document purpose:
"model-suffix" installation operation manual PDF
"model-suffix" parts list
"model-suffix" service bulletin
Try both:
- full model with suffix;
- base family plus suffix meaning;
- product family and official document number;
- legacy brand plus current owner brand;
- serial/date range plus recall.
Do not remove a suffix merely to force a result. If only the base family is indexed, prove inside the document that the suffix is covered.
9. Select the right document type
Installation and operation manual
Usually controls plumbing, electrical/fuel installation, startup, operating limits and routine maintenance.
Owner's/user guide
Controls normal interface, schedules, modes, messages and owner-level maintenance.
Service manual/troubleshooting guide
May contain qualified diagnostic/repair steps that exceed a route technician's scope. Availability is not authorization.
Parts list/exploded view
Useful for component identification and revision breaks; not a safe-service procedure by itself.
Condensed field guide
Useful in the field but incomplete. It does not replace warnings and full procedures.
Accessory/kit instructions
Controls the exact retrofit, board, sensor, actuator, cover, valve or adapter, often alongside the parent manual.
Safety bulletin/recall
Can supersede ordinary use and require stop-use, inspection or remedy.
Record which document controls which task.
10. Verify the manual from inside
Do not stop at the filename or search title. Open the document and confirm:
- cover/title page product family;
- explicit covered model table;
- exact suffix or compatible variant;
- document number and revision/date;
- language/market;
- fuel, voltage, capacity and configuration;
- recognizable controls/ports/components;
- warning and procedure relevant to the task;
- revision notes or serial breaks;
- accessory requirements;
- manufacturer copyright/contact identity.
If the manual says “for models X/Y only” and the installed label is Z, it does not control.
11. Revision and legacy control
The newest document is not automatically correct for the oldest installed unit. Determine whether the manufacturer presents it as:
- current manual covering prior units;
- current-generation only;
- superseding revision;
- legacy/archive document;
- installation-date or serial-range specific;
- accessory instruction supplement.
Preserve both:
- the installed equipment manufacturing/generation evidence;
- the manual document number/revision/access date.
If revisions conflict on a consequential step, pause and ask manufacturer technical support with exact model/serial/date evidence.
12. Rebrands, acquisitions and look-alikes
Pool products may move among brand owners or share OEM housings. A visually identical unit can have different:
- electronics/firmware;
- voltage/fuel;
- seals/materials;
- ratings;
- approved parts;
- warranty/support route;
- safety notices.
Record brand on the installed label and any official successor/alias. Do not substitute a sister-brand manual unless the manufacturer explicitly cross-references it.
13. OCR and AI are assistants, not evidence
OCR can help read a faded plate, and AI can help form a search, but both can invent or confuse characters.
For any identity used in a procedure:
- compare transcription to original full-resolution photo;
- have a second visual check for critical suffixes;
- verify the exact string appears in an official document;
- keep uncertainty visible until resolved.
Never let an AI-generated manual summary replace the manufacturer's warnings or exact document.
14. Manual link and source record
For each document, store:
- canonical official URL;
- manufacturer/publisher;
- exact title;
- document/part number;
- revision/date;
- language/market;
- access date;
- models/configurations covered;
- task(s) it controls;
- status: current, legacy, superseded, unclear;
- proof note: page/table/section establishing coverage;
- related safety bulletin/recall result.
Avoid relying only on a downloaded filename like manual.pdf. Do not republish copyrighted manuals as your company content; link to the official source and create original Field guidance.
If an internal reference copy is permitted, preserve provenance and review dates. The official current source still needs rechecking before consequential work.
15. Safety notice and recall check
Search the manufacturer's official notices and CPSC with:
- brand;
- product family;
- full model;
- serial/date range;
- product category;
- symptom when relevant.
Record one of:
- checked, no matching current notice found as of date;
- notice found, not applicable, with evidence;
- notice applies, equipment restricted and official remedy followed;
- unresolved, identity/range proof needed; equipment restricted when risk warrants.
Do not equate “no search result” with a guarantee that no hazard exists.
16. Resolve conflicts systematically
When two sources disagree:
- Stop the affected task.
- Restate the exact conflict.
- Recheck full installed model/suffix/serial/date.
- Compare document publisher, number, revision and covered models.
- Look for supersession or service bulletin.
- Contact official technical support with photos and questions.
- Record the response source, date and representative/case number privately.
- Update the asset/manual record, not just one work order.
Do not average two procedures or choose the more convenient one.
17. When the label is unreadable or missing
Build an evidence packet without guessing:
- all safe-angle photos;
- housing/port/control details;
- dimensions only when safely measurable;
- motor/control/part labels clearly distinguished;
- installation year/invoice if reliable;
- previous service record;
- plumbing/electrical/fuel configuration;
- manufacturer support correspondence.
Mark identity UNVERIFIED. Limit work to what does not depend on unresolved identity. Do not order parts or perform model-specific pressure, fuel, electrical or chemical service from visual similarity.
18. Replacement and change control
When equipment or a major component changes:
- retire the old asset record without deleting history;
- photograph old/new labels and installation context;
- create a new component record and relationship;
- update manuals and parts documents;
- capture baseline settings/pressure/schedules;
- update automation labels and dependencies;
- recheck warranty registration and safety notices;
- mark outdated manuals as non-controlling.
A replaced motor, cell, board or valve does not necessarily create a new parent asset, but the relationship and compatibility must be recorded.
19. Privacy and public feedback
Keep in the authorized private property record:
- serial numbers;
- customer/property address;
- Wi-Fi/MAC/IP identifiers;
- account/email names;
- pairing/security codes;
- key/lock locations;
- purchase/warranty documents with personal data;
- photos revealing access/security details.
For public Ask Blue or page feedback, use generic model/family and redact property information. A contributor email is optional attribution context, not permission to publish their property data.
20. Field completion workflow
- Reconcile asset count against the equipment map.
- Confirm each asset has required photos and transcription.
- Resolve parent/component relationships.
- Verify official manual coverage inside each document.
- Record document type and task scope.
- Check recall/safety status where applicable.
- Mark unreadable/ambiguous fields and restrictions.
- Update replacement history and baseline links.
- Store private evidence correctly.
- Give the next technician an explicit source path.
Common problems
- Photographing only the label with no whole-unit context.
- Cropping off the model suffix or serial-date line.
- Treating a motor plate as the pump model.
- Treating a salt cell as the controller, or vice versa.
- Searching by appearance instead of exact label.
- Using a reseller/manual-library mirror when an official source exists.
- Trusting a search snippet without opening the document.
- Assuming newest manual covers every legacy generation.
- Using a parts diagram as an operating procedure.
- Ignoring accessory/kit instructions.
- Guessing an unreadable character.
- Publishing serials, credentials or property photos.
- Failing to update the record after replacement.
Major stop conditions
Stop the task, leave the system safe, and escalate when any of these conditions apply.
- Label can be seen only by opening an electrical/fuel enclosure, removing a guard, entering a cover vault/confined area, reaching across hot/moving equipment or contacting exposed wiring/chemicals.
- Equipment is energized unexpectedly, hot, leaking, arcing, burning, unstable, pressurized abnormally or otherwise unsafe to approach; identification waits for safe control/qualified service.
- Model, suffix, serial/date code or component identity remains ambiguous and the choice changes voltage, fuel, pressure, chemical, safety, parts or procedure requirements.
- Only a reseller, forum, AI summary, image match, unlabeled PDF or different model's manual is available for a consequential task; do not proceed as though it controls.
